Title of role: Venue Sales and Events Coordinator

Reporting to: Venue Sales and Events Manager

Salary on offer: £27,901 gross per annum

Location / Office address: Central London (specific address not disclosed)

WFH / Office / Remote: Hybrid working — a mix of onsite and remote flexibility

Working hours: 35 hours per week, flexible across weekdays and weekends

Start date: ASAP or subject to candidate availability (based on typical maternity cover expectations)

PT / FT: Full-time

Probation Period: 3 months

Scope for permanent role: Fixed-term maternity cover (1 year) — potential for extension not specified but may depend on organisational needs

The Role As Venue Sales and Events Coordinator, you will play a key role in delivering exceptional commercial and internal events from first enquiry through to post-event feedback. This includes generating sales, supporting operational delivery, and contributing to marketing efforts that showcase the venue’s unique offer.

Key Responsibilities

Sales and Client Engagement

  • Respond promptly to incoming enquiries related to venue hire, filming, and private events with tailored proposals.

  • Conduct due diligence on new leads and maintain accurate CRM records.

  • Lead site visits and upsell opportunities where appropriate.

  • Maintain high levels of customer service and contribute to achieving annual sales targets.

Event Delivery

  • Be the main contact for clients and suppliers throughout events, ensuring smooth operational delivery.

  • Advise on logistics, ensure internal teams are informed, and distribute detailed event plans.

  • Attend weekly planning meetings and coordinate walk-throughs with stakeholders.

  • Monitor adherence to licensing, health and safety, and venue policies.

Marketing and Promotion

  • Support the execution of the marketing strategy for venue hire and children’s events.

  • Collaborate with communications teams to create content, update listings, and promote offers.

  • Represent the venue at trade shows and networking events, and help coordinate familiarisation visits.

Person Specification

Essential

  • Proven experience in event planning and venue sales, ideally within a cultural or heritage venue.

  • Ability to manage a diverse range of clients, suppliers, and internal stakeholders.

  • Competent copywriting and administrative skills, with proficiency in Microsoft Office.

  • Familiarity with social media platforms and CRM systems.

Desirable

  • Knowledge of risk assessments, AV equipment, and event booking systems.

  • Experience in marketing campaign delivery and using platforms like Instagram for event promotion.
